1. PURPOSE OF THIS NOTICE

This Privacy Notice explains how we collect, use, share, and protect your personal information when you interact with us, in line with the UK General Data Protection Regulation (UK GDPR), EU GDPR, and other applicable data protection laws.

2. WHAT PERSONAL DATA WE COLLECT

We collect and process different types of personal data depending on the nature of our relationship with you. For candidates, this may include CVs, career history, education, contact details, compensation information, interview notes, references, and assessment results. For clients, we process information such as contact details, role specifications, feedback on candidates, contractual information, and billing details. For other professional contacts, including suppliers, partners, or referees, we may collect relevant professional details necessary for our business relationship. We only collect personal data that is relevant and necessary to deliver our services.

3. HOW WE USE PERSONAL DATA

We process personal data for several purposes, including providing executive search and recruitment services, assessing candidates against client requirements, and communicating with candidates and clients regarding opportunities. We also use personal data to maintain business relationships and to meet our legal and regulatory obligations. In doing so, we rely on lawful bases such as legitimate interests, consent (where required), and compliance with legal obligations.

4. SHARING OF PERSONAL DATA

We may share your personal data with clients for the purpose of presenting candidates for roles, as well as with trusted third-party service providers such as IT platforms, payroll providers, and assessment tool providers, all of whom operate under contractual safeguards. We may also disclose data to regulators or authorities where legally required. We do not sell personal data under any circumstances.

5. INTERNATIONAL TRANSFERS

We only transfer personal data outside the UK/EEA where it is necessary for the provision of our executive search and advisory services, for example when presenting candidates to clients based overseas or when using international technology platforms that support our operations. In such cases, we take proportionate steps to minimise risk and protect confidentiality, including limiting the amount of personal data shared to what is strictly required, ensuring that recipients are subject to contractual obligations of confidentiality, and using secure methods of transmission such as encrypted systems or access-controlled platforms.

6. DATA RETENTION & SECURITY

We retain personal data only for as long as necessary to provide services and meet legal requirements. We store all personal data securely using appropriate technical and organisational measures. This includes secure servers, encryption, access controls, and regular monitoring to protect data against loss, misuse, unauthorised access, disclosure, alteration, or destruction. Personal data is only accessible to authorised personnel and trusted third parties under contractual safeguards. We do not routinely delete personal data unless a specific request is made, subject to applicable legal and regulatory obligations.

7. YOUR RIGHTS

Under data protection law, you have several rights in relation to your personal data. You have the right to access the information we hold about you and to request its correction or erasure where appropriate. You may also restrict or object to the processing of your data and request that it be transferred to another party through data portability. In addition, where we rely on consent as a lawful basis for processing, you have the right to withdraw that consent at any time.
